POSITION: Administrative Assistant – Communications & Intergovernmental Relations
SALARY RANGE: Commensurate with Qualifications and Experience
SUPERVISOR: Communications & Intergovernmental Relations Manager
HOURS: 35 hours per week | TERM: Subject to leave | LOCATION: New Aiyansh, BC
JOB SUMMARY: Performs administrative and clerical support to the Communications & Intergovernmental Relations Department.
RESPONSIBILITIES:
1. The performance of various administrative tasks including:
▪All communication activities including telephone, e-mail, and faxes;
▪Screens media inquiry telephone calls, gathers background information or research;
▪Assist team with maintaining website (training provided):
▪Assist team with film production crew to capture history in the making (training provided);
▪Assist team with photography shoots as a crew member (training provided);
▪Assist team with coordination or small to large scale events;
▪Assist in gathering newsletter submissions from each department;
▪Receiving/distributing mail and monitoring for address updates;
▪Coordination of/and preparation for meetings (agendas, photocopying, facilities, attendees, etc.);
▪Maintenance of the physical and electronic filing system including control of confidential materials;
▪Creation of correspondence including reports, minutes, photocopies, etc., as required;
▪Travel planning/arrangements and ensures that travel advances are processed on time, as required;
▪Assist with other departments;
2. Assisting with the administration of purchase orders, and invoices.
3. Coordinate departmental reporting material required of NLG Executive by working with the Executive Manager to the Chief Executive Officer to accomplish this;
4. Other duties may be assigned;
EDUCATION or OCCUPATIONAL CERTIFICATION:
• Minimum high school diploma;
• Post-Secondary education in Business Administration is an asset;
EXPERIENCE:
• Minimum of one year in administrative assistant position is required;
• Strong Microsoft Word and Excel experience is required;
SKILLS/ABILITIES:
• Excellent written and verbal communication skills;
• Ability to prioritize, organize and manage a workload including concurrent multi-initiatives with changing deadlines;
• Highly organized and structured with clear attention to detail;
• Ability to understand and speak or familiarity with Nisga’a Language and Culture is an asset;
The successful candidate will be required to have/complete/provide:
- A valid BC Drivers’ license with recent drivers’ abstract
- Three recent work related references;
- The successful candidate will be subject to a criminal record check.
